YEAR 3 COMMITTEE MEMBER WEEKEND DUTIES

OH MY GOODNESS!!!! THE STEPS TO RECOVERY WEEKEND IS HERE!!!! That means that we’ve gone from getting ready to getting it done.

The first thing to remember is that the Registration clearly say 4:00 P.M., and even though this is a program based on following instructions, this wonderful Group Of Drunks, will take that as a suggestion and about 1/3 of them will show up by 2pm. That’s okay, because love and tolerance is our code. That means they will have to love us and tolerate us starting registration at 4pm.

Everyone will have an opinion about everything. Some of our brothers in recovery will find it necessary to share those opinions, constructive or not. Feelings are not facts! To Thine Own Self Be True!!!

FRIDAY:

The first thing to do is pack your car. Since you don’t have box after box of literature and “archives”, that means clothes, snacks, and TUMS…we gonna eat good!!!  You should also bring the registration information, sleep chart, check-in check list, name tags (presuming you’re the name tag guy).

-ARRIVAL: Plan to arrive on Friday around noon to 1pm. If for some reason this is not completely possible due to work/life/whatever obligations, let the committee know. We will figure it out together.

- SET UP: Once you arrive on Friday your job is to set up the REGISTRATION.  That is because you have all the stuff that is used to set up the REGISTRATION.  This is a great opportunity to bring along a sponsee to get active with service work!!!!   Send them to the Auditorium with the Year 1 guy. He needs the help worse. I promise.   Don’t forget to get the door prizes, Itineraries, maps, and group leader papers from box boy (soon to be “Tinkerbell”)

Meet with your site contact at the Office, to get the Cabin Keys and Master Key (usually 2 of them) You will keep one, and if someone locks their lodge door its on you to unlock…yes even at 2am.

-REGISTRATION: You and 2nd year committee member should do the check in to allow 4th year member to take care of any odds/ends issues. 1st year guy is busy setting out the literature. (BB usually set up the break out group chairs. If not, send in the troops to help 1st year guy!!)

*Hint: Don’t forget to eat dinner. Those stragglers can take their nametag off the table. You need your energy. You’ve got a busy weekend ahead of you.

-ADDITIONAL DUTIES:  In addition to the above outlined duties, you will be responsible for introducing some of the speakers.  You are the MC to kick things off and wrap things off. There is a different printout with these duties assigned to each of you.

SATURDAY:

-BREAKFAST:  take your time enjoying the morning “Tinkerbell” has the wake up duties for the lodge. You deserve a nice cup of coffee and a shower. Treat yourself!

-HOLD DOWN THE FORT: During the “one-on-ones” you, will stay behind. Grab a straggler and do a one-on-one with a guy. You have nowhere to be till dinner time.

*HINT:  If you get done early, feel free to take a little nappy-nap!

-INTRODUCE THE LEAD

This is the start of the PARTY on Saturday night!  Let the visitors know the rules and the lay of the land. Then introduce the speaker. There are no comments after the lead except you. Show the LOVE!!

-SOBRIETY COUNTDOWN

Start by explaining what a sobriety countdown is, and how to do it. (When you year is called, stand and be recognized).  Pick a starting number (I like 60), and count back from there.  Pay attention to the longest sobriety, they will give a book to the guy with the least sobriety.

(Have the YR 4 guy help track the numbers so we can give a total years of sobriety at the Sunday session)

-PIZZA PARTY:  You will be the last guy over here. You can help “passing the hat” for collection for the pizza party. It’s a big room. You can certainly ask another trustworthy guy to assist.  Make sure that the 1st year guy has gotten some of the scholarship guys to help clean up after the party.

SUNDAY:

-BREAKFAST  It starts a little earlier today, so don’t over sleep.

*Hint: If you walk over at 8 the regular line has already died down. Aint Life Grand!!

*HINT:  On Sunday the 7th step prayer is at 8:45, this is different than all other activities that start on the hour, to be safe you may want to make an announcement at the cafeteria towards the end of breakfast, before going to the auditorium.

-CLEAN UP THE LOBBY  During the check out period is a great time to clean up the lobby and pack up the boxes. You can leave them in the lobby and the new guy can load them up after you meet with Kather.

Don’t forget to grab any extra fruit from downstairs by the coffee machine (or other lodge area).

This is all a great opportunity to get some younger and/or newer guys to help out. You’re getting ready to go into your 4th year here, supervision is a needed skill.

-BREAK DOWN:  after the 12th step speaker help to break down all the stuff  set up on Friday. Collect the group signs, the non-smoking signs, clean up the lobby area, put away the literature, take down the 12-steps and 12-traditions, etc. A once through the meeting area is a great idea.

-AFTER LUNCH RAFFLE:  this will be the 1st year guy mostly.  If you have door prizes from the previous year, use them for the raffle

-GRATITUDE MEETING:  you’re not the emcee, but you can certainly be grateful!

*Hint:  MAKE SURE WE BRING OUT THE KITCHEN STAFF AND THANK THEM!!!

-EXTRA FRUIT:   there will likely be extra fruit in the lodge and the lobby of the auditorium, try to arrange for someone from a sober house to take this so it is not wasted!!!

-SETTLE UP:   all great weekends must come to an end, but not before we pay the tab. The committee will go as a group and pay the remainder of the balance due.  In addition, we select the next year weekend and pay a deposit.  We typically make a donation to the site as well (between $500- $1,000).

THAT’S A WRAP...

OH WAIT...we've added a 4th year to your commitment!!!

Take a rest, you’ve earned it!!!! And THANK YOU!!! This would not be possible for 150+ attendees to spend a weekend growing spiritually without all that you have done!!!
